Director - Business Operations - University of Miami - Miami
Job description
Reporting to the senior leader for the unit, The Director of Business Operations will be responsible for serving as the principal advisor regarding all financial, personnel and operational matters which may affect the short or long-term success of the department. The incumbent on this position will be accountable for planning, developing, implementing, and administering financial controls, staffing and financial analyses, operating systems and internal controls. The Director serves as the administrative liaison for the unit to faculty, school and departmental administrators, central University administration, and external funding agencies.
Responsibilities
Primary Duties and Responsibilities (For Non-exempt Employees Include Percent of Effort):
Personnel
Provides general oversight of operations, including supervision and performance management of all assigned staff including making decisions as they pertain to hiring, training, evaluation, promotion and termination
Manages daily operation and performance of the staff and directs them in achieving the departmental goals and objectives
Primary liaison with Human Resources representative to ensure the timely processing all new hires, terminations, promotions, position changes and employee leaves for departmental staff
Serves as a liaison between the department and Human Resources representative in coordinating documentation, actions, and disputes, and assists in the resolution of the same
Manages onboarding and orientation for all staff
Manages employee records and access to include serving as timekeeper for all staff, monitors key control and access card records for staff, faculty and students
Initiates and processes the documentation required for all departmental staffing and ensure adherence to the University of Miami policies and procedures
Manages student employment
Financial Management
Responsible for financial management. Develops annual operating budget, manages budget reporting and short and long term strategic planning. Provides analysis and forecasting. Presents budget proposals to leadership
Oversees and executes on strategic and operational plans for the organization in the direction specified in the strategic plan
As cost center manager, manages, reviews and reconciles departmental accounts to adhere to budget allocations
Monitors the financial results to ensure fiscally responsible use of funds
Processes and keys journal entries for corrections/chargebacks
Reviews and approves departmental travel preparations and reimbursements for conference/training coordination
Coordinates processing of departmental contractual agreements
Responsible for budget approval of departmental purchase requests
Operations/Administration
Be knowledgeable of the Director’s activities, projects, schedule; independently coordinates meetings with key people, and acts on behalf of the Director at various meetings and functions.
Oversees space/facilities needs for unit including initiating and coordinating facilities/maintenance work orders, IT/telecommunications needs
Supports department divisional initiatives as required or needed
Seeks problem resolution and ensures that the solution is within the established departmental guidelines
Recommends methods to improve daily business operations and functions to the departmental management. Coordinates and implements as required
Conducts research on assigned projects/issues, identifies course of action and makes recommendations as appropriate
Identifies areas of improvement and implements an action plan or initiative to meet departmental goals and objectives

Leadership skills
Knowledge of internal control systems used for general accounting principles
Financial management and analysis
Ability to read, analyze, interpret and explain complex data
Ability to work under pressure and under tight deadlines with limited resources and multiple competing priorities
Excellent written and verbal communication skills
Strong interpersonal skills; ability to collaborate well with others
Solid computer skills
Education Requirements (Essential Requirements)
Bachelor’s degree in Business, Finance, Accounting or related field; MBA preferred.
Work Experience Requirements (Essential Requirements)
Seven years of related management experience in a multi-faceted operation with significant budget and accounting responsibility.
