Immigration Specialist Workday Pleasanton

The ideal candidate for the Immigration Specialist position will be familiar with Inbound and Outbound immigration requirements and processing various types of visas. This role will support our internal employees, candidate/new hires, recruiters, business leaders and the HR team on immigration status and ongoing matters. The Immigration Specialist will be responsible for managing the exchange between the visa applicants and the legal firm processing the requests, providing status of the petitions and setting expectations and answering questions around status and next steps. Immigration Specialist will be responsible for the day to day management of the Immigration program .
Main Responsibilities:
Manage immigration mailbox – Responding to requests for information from managers, employees, recruiting team and third-party immigration team.
Manage internal work authorization expirations and obtain updated work authorization documents from employees to update internal systems.
Manage immigration caseload to ensure a high level of service satisfaction is delivered.
Evaluate new candidates as presented from Talent Acquisition for eligibility for sponsorship.
Track status of all new cases to ensure timely processing and report any delays to the hire dates.
Act as a liaison between the candidate and outside counsel and provide continuous support and coordination to keep the immigration process moving.
Manage the outbound immigration with third-party legal firm both locally and globally to ensure work permits are in place for short-term travel and long-term assignments.
Analyze complex immigration matters and effectively communicate solutions to internal clients in collaboration with outside immigration counsel.
Use independent judgment relative to decision making/exceptions to Workday policy within established operating service guidelines.
Serve as the point of contact for Foreign Nationals, providing continuous day-to-day counselling around their case and status.
Prepare Verification of Employment and travel letters as requested.
Prepare training materials and conduct training sessions and presentations around current immigration policy.
Consult with third-party immigration around changes to any legal immigration requirements and the impact on Workday’s program.
Complete mandatory paperwork including signatures in a timely manner.

Qualifications:
BA/BS in Business or related field
2+ years of HR/Admin experience
5 years of direct immigration experience
Detail oriented; able to “connect dots” to see the bigger picture of related issues and solutions.
Maintain a strong, on-going relationship with global assignees
Excellent communication skills, both written and verbal
Flexible and able to adapt to shifting priorities, demands and deadlines.
