This position will assist the VP in managing all aspects of the GTSO department. The job requires the ability to manage the Travel Management Company as well as the department’s staff. Development and maintenance of internal and external relationships with varied vendors and business units is key.

A successful candidate for this role will have administrative, analytical and management skills, as well as a strong background in Travel.

Work closely with VP of GTSO to ensure company travel policy and strategic initiatives are applied company wide
Oversee all activities of Travel Management Company (TMC)
Timely review of SLA’s to make certain all are being met or exceeded; investigate all areas where there are shortcomings or problems and resolve accordingly
Monitor transaction fees to discover potential cost savings and any irregularities
Reconcile monthly statements from TMC; examine any extraneous charges and look for ways to reduce costs
Establish positive working relationship with TMC management and all agents
Work with TMC to streamline and adapt all processes related to ticketing; pre- approvals and other operational practices
Monitor after hour call center for call times and usage
Analyze daily, monthly, quarterly and annual reports to include: phone stats; travel alerts; air & hotel spend and other ad hoc reports as needed
Review contract for renewal
Establish relationships with internal business units
Review all agency reports to monitor spend and policy compliance-advise business units of abnormalities or consistent out-of-policy instances
Research and resolve any complaints or concerns generated from within the company
Meet regularly with key players in each division to maintain positive relationships with GTSO
Oversee technological resources of the department
Understand big picture elements of : Concur; Prism; pre-trip approval tool, eTouches event tool, and other technology used within the department
Partner with agency on increasing adoption rate of online booking tool
Airlines
Maintain relationships with all airline vendors
Monitor all reporting to ensure contracted targets are being met and investigate any shortcomings in performance
Negotiate with new airline partners as well as existing vendors on a domestic and global level
Ability to design and analyze airline RFP.
Hotels & Cars
Maintain relationships with hotel and car rental vendors
Oversee hotel and car rental RFP processes
Monitor reports for compliance and out of policy bookings
Analyze usage reports to potentially better leverage spend with fewer vendors
Restructure Hotel Program and Production Travel Desk to ensure optimum coverage and needs are met
GTSO Department
Develop and update a set of Standard Operating Procedures for department
Oversee day to day operations of staff: vacation approvals; sick days; etc
Responsible for staff performance appraisals
Manage departmental budget
Basic Qualifications

Minimum 10 years of travel management experience – corporate experience a must
Additional Qualifications

Additional Qualifications

Keen understanding of TMC operations including proficiency in Sabre – Agency experience a plus
Strong organizational, analytical and presentation skills; ability to customize reports
Superior project management and proven implementation skills
In depth knowledge of travel industry and strong contacts in air, hotel and car rental
History of managing staff; leadership skills necessary
Strong analytical skills and ability to customize reports
High level business writing skills
Experience with travel technologies; ability to evaluate different technology solutions and recommend best fit products
Expert level Microsoft Office skills including Word, Excel and PowerPoint
Thorough understanding of travel data elements and metrics
Experience with TMC implementations – (global a plus)
Ability to travel with little lead time
Availability to work overtime
