The Global Director of Internal Operations is responsible for leading the vision, strategy and execution for the Operations Function within Navigant Business Services (NBS). This leader will become the subject matter expert on the processes, philosophy and continued growth of a first in class global operations organization. Firm Wide Management
Coach, develop/mentor and manage up to 15 regional Office Managers (OM) with indirect oversight of over 200 global operations employees.
In partnership with OM’s and Firm leadership, develop and maintain a consistent administrative service delivery platform.
Partner with OM’s, Firm leadership and Human Capital to develop efficient and consistent office processes and procedures that are compliant with employment related laws.
Partner with Human Capital as the Global Internal Operations subject matter expert (i.e. operations support model, administrative procedures, administrative support industry trends/changes, Administrative Procedures Manual, etc.)
Run bi-annual performance reviews with OM’s and support other business leaders with the evaluation process.
Partner with Recruiting and Human Capital on operations staff recruitment, retention and terminations.
Work with staff and management to identify and facilitate staff development and training opportunities.
Provide an effective interface between Office Managing Directors, Managing Directors and other internal staff and leadership.
Act as the Global Operations advisor to the Navigant C-Suite.
Use process improvement skillset to resolve critical issues through the firm and operations organization.
Oversee conference rooms and work with Recruiting to coordinate large hiring events and ensure operations team acts as on-site contact/liaison to escort candidates as necessary.
Coordinate annual office property insurance with risk management.
Other duties as necessary and related.
Culture
Team with local Office Managing Directors (OMD) and OMs to continue to build office culture and connections making Navigant a sought after place to work and develop a career.
Partner with Marketing to drive community outreach for each field office.
Help to develop and maintain individual office social functions (i.e. summer events, holiday events, social hour, etc.).
Work closely with Diversity & Inclusion team to advance our diversity agenda, promote/generate interest in events, and encourage entire staff to support ERG’s and local diversity events.
Provide support to local office charity events such as “Jeans Day for Charity”.
Ensure all onboarding activities run smoothly and play an active role in establishing the right welcome to all new employees.
Oversee business schedules and operations ensuring efficient and smooth office operations.
Manages key partnerships and relationships throughout the firm’s business lines and operations and NBS segment.
Oversees event planning activities for key departments and stakeholder events.
Financial
Responsible for the annual budgeting/forecast development
Maintain resources within provided budget
Provide insight and guidance on cost saving ideas/opportunities
Monitoring budget costs throughout the year providing expert adjustments as needed
Project Management
Actively lead and direct significant projects or initiatives within the operations function focused on administrative services, including communication for change management efforts.
Establish timelines for key internal client deliverables and communicate deadlines to internal teams and firm leadership.
Use problem solving skills to provide solutions for challenges that arise throughout the project lifecycle.
Manage client expectations by communicating progress as well as obstacles throughout the course of all projects.
Coordinate with internal Real Estate department to ensure office requirements are met to accommodate office personnel, to review physical office condition and maintain office space appropriately, to anticipate and eliminate any space planning issues, and support real estate related projects (moves, expansions, contractions, closures, etc.).
Qualifications
Bachelor’s degree required, Master’s degree preferred.
10-15+ years of progressive operational and relationship management experience required preferably out of management consulting.
Strong knowledge of working in a matrix organization.
Experience developing and embedding new organization wide policies and procedures and effectively implementing change across an organization.
Ability to communicate effectively with diverse populations and manage remotely.
Excellent written and verbal communication skills, including strong public presentation skills.
Proficiency with all Microsoft Office Software (Outlook, PowerPoint, Excel, Word).
Comfortable with travel and ability to provide global assistance with various time zones.
