Facilities Director Ogilvy & Mather New York City

This person will drive the success of Ogilvy’s Facilities Team with support for Ogilvy and all WPP companies at The Chocolate Factory. The Facilities Director will lead, collaborate, support, and coach all Facilities Team members for maximum performance. The Facilities Director will develop departmental goals and deploy Facilities standards and best practices.
Responsibilities
Provide leadership in Facilities and building operations; and manage the entire Facilities Team consisting of Conference Room Booking, Security, Off site records storage, Maintenance Crew, AV staff, Mail Room services by Canon, Cleaning services by Collins Building Services
Oversee the selection, training and development of Facilities staff
Manage the performance of direct reports to ensure that departmental goals are met
Continually evaluate facilities process inefficiencies and implement improvement measures
Track the department’s operating budgets to maximize internal resource utilization and lower external costs. Generate annual operating budget
Collaborate with Landlord’s on-site management staff & Ogilvy’s Director of Design and Construction to manage legal & compliance issues relative to building operations to ensure that Ogilvy is operating within compliance
Track corporate shuttle bus service for performance and compliance
Coordinate all Loading dock & freight elevator reservations
Manage the Facilities Help Desk: train the person who receives calls and requests. Manage, track and follow up on all requests. Analyze recurring facilities issues and work on solutions to mitigate
Manage and support the Manager of Security, who is responsible for all Building Security
Manage the Mail Room staff; continue to look for efficiencies and cost savings
Manage the Cleaning Services vendor; make sure every floor is well cleaned and maintained
Manage all Electrical/lights issues
Coordinate with the Director of Design & Construction all proposed new construction and move-related issues
Manage payment of all Facilities outsourced services
Building Maintenance/Upkeep: Manage Maintenance Staff
Oversee and collaborate with New Business and Special Events and manage all furniture set ups requested
Oversee all necessary carpet repairs/replacement
Manage all names on seats plans and Database; Manage internal moves
Organize all in-house moves with in house Maintenance staff
Manage Conference Room Booking
Communicate with Design & Construction: Forward all requests for construction, furniture and design of any rooms/partitions/team room reconfigurations, Main lobby redesign, or refresh requests for individual floor lobbies/areas to the Director of Design and Construction
Manage all Vendor relationships
Coordinate any contracts with new vendors with Finance
Manage the AV staff
Qualifications
Minimum of 10+ years of experience in Facilities management
Understanding of building equipment and systems preferred
Deep understanding of building financials in order to continually optimize vendor and team performance
Experienced with leading teams: A true leader. One who can inspire others to take action and be their best
Must have strong written and verbal communication.
